Letter structure
The page starts with sender details and the date, followed by the recipient address, subject, greeting, body and sign-off. It works for business correspondence, formal requests, complaints and supporting letters.
Replace every placeholder, including the footer text.

Write the message
State the purpose in the first paragraph. Add relevant facts, dates and references, then close with the response or action you need and a time frame.
Use short paragraphs and explain any abbreviations.

Use DOCX while other people need to edit the letter. Use PDF when the wording and page layout are final.
Check the recipient, referenced attachments, page count and signature area before sending.
