01

A complete one-page letter

The template puts sender details and the date where they are easy to find, followed by the recipient address, a specific subject line, greeting, body and sign-off. The hierarchy works for business letters, formal requests, complaints and supporting correspondence.

Replace every placeholder, including the footer. A professional layout cannot compensate for an old address or a generic subject line.

  • Sender and recipient details
  • Date and specific subject
  • Three-paragraph body structure
  • Sign-off, name and organisation footer
02

Write for the reader

Use the opening paragraph to state why you are writing. Put evidence, dates and references in the middle, then end with the response or action you need and a realistic time frame.

Short paragraphs and concrete wording make a formal letter easier to understand than decorative language or unexplained abbreviations.

Choose the right output

Save as DOCX while the letter still needs collaborative editing. Export a PDF when the wording is final and the page must stay stable for sending or filing.

Reopen the final file and check the recipient, attachments mentioned in the text, page count and signature area before it leaves your device.

Questions about this template

Will the letter remain editable in Word?

Supported text, images and simple shapes export as editable DOCX objects. Review the reopened file before sharing.
